Privacy Policy
This policy covers the application used by Agland Technologies L.L.C., its authorised employees and its dealers. There is no open sign-up: an account exists only because we created it.
A customer of ours may also install the application for one purpose — to sign the service release for work on their own machine. They are given a six-digit code that works once, they enter their own details and sign, and that is the whole of it. No account is created for them, they are not signed in, and they can reach nothing else in the application.
Who is responsible
Agland Technologies L.L.C., 16898 436th Ave, Henry, SD 57243, USA. Questions about anything on this page: info@gf-controls.com.
What the application holds
- Staff records. Names, work email addresses, hours worked, tasks and photographed receipts — the ordinary business records of running a workshop.
- Customer records. Name, address, telephone, email, and the machines we worked on — vehicle type, VIN, engine hours — together with the signed service release for that work.
- Dealer records. Company name, contact person, address, telephone, email, their signed dealer agreement, the sales they report and what they earn on them.
- Equipment records. Which unit went where, and when its warranty started.
- Signatures. The handwritten signature drawn on the screen, kept as part of the document it belongs to. It is held for that document and nothing else — never used to identify anybody, and never compared against anything.
- A device token for notifications, where somebody has allowed them. It marks a phone as a place a message can be sent, holds nothing about the person, and is deleted as soon as that phone stops accepting messages.
What the application asks the phone for
Each of these is asked for at the moment it is needed, and refusing one stops only the thing it was for.
- Camera. Photographing a receipt, and reading the barcode on a part or a box. Pictures are not taken at any other time.
- Photos. Choosing a receipt already on the phone instead of photographing it. The application reads the picture you pick and nothing else in the library.
- Location. Recording where a job was carried out, on the jobs that ask for it. It is read at that moment, not followed.
- Calendar. Putting an appointment the office arranged into the phone's own calendar, when asked to.
- Notifications. Telling somebody that an order was answered, a commission was paid, or a new dealer agreement needs signing. Never advertising.
Where it is kept
In a hosted database and file store operated by Supabase on our behalf, encrypted in transit and at rest. Access is restricted per account by rules enforced in the database itself: a dealer reaches their own dealership's records and nothing else, and an employee does not reach the signed customer releases at all.
QuickBooks
Where the company connects its own QuickBooks Online account, the application:
- reads customers and products, to find the ones an invoice needs;
- writes a customer, when one buys for the first time, and an invoice for an order that has been approved;
- asks QuickBooks to email that invoice to the customer.
Nothing is deleted, and a customer already in the books is left as they are. The connection is granted by the company through Intuit's own consent screen and can be withdrawn there at any time.
Who else sees it
Nobody buys this data and we do not sell, rent or trade it. It is handled by the services that make the application work, and by no one else:
- Supabase — database, file storage and accounts.
- Intuit (QuickBooks Online) — only where the company has connected it, and only the customer and order details an invoice carries.
- Our mail provider — to deliver a signed document, an invoice notice or a monthly statement to the person it belongs to.
- Expo's push service — to carry a notification to the phone it is addressed to. It receives the device token and the words of the message, and no records.
We disclose records otherwise only where the law requires it.
How long
Business records are kept as long as the business and the tax authorities need them. Signed service releases and dealer agreements are kept for the life of the equipment and the relationship they cover, because they are the record of what was agreed.
Your rights
Ask us for a copy of what we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. Write to info@gf-controls.com and we will answer.
